You can share two things in Fuel iX Copilots: chats and copilots. Sharing a chat lets others view a conversation. Sharing a copilot lets others use it.

Sharing a chat

Sharing a chat gives other people read-only access to the conversation — they can see the full exchange and any new messages added, but they can't participate.

When to share a chat:

• You solved a problem and want to document how for your team
• You've drafted something in a chat and want a colleague to review it
• You want to share a useful example of how to prompt for a specific task
• You're using a chat as a lightweight handoff document

How to share a chat

1. Open the chat you want to share.
2. Click the Share button.
3. Choose who can access it:
   • Specific people or teams — search for and select users or teams; only they can view it
   • Anyone in your organization — any authenticated user in your org with the link can view it
   • Anyone on Fuel iX — any Fuel iX user, regardless of organization, can view it with the link
4. Copy the share link or send it directly from the share dialog.

Removing access

Return to the chat's share settings at any time to change the access level or turn off sharing.

Sharing a copilot

Sharing a copilot gives other users access to use it — they can start new chats with it just like any other copilot. Depending on the permissions you set, they may also be able to help manage it.

When to share a copilot:

• You've built something useful and want your team to benefit from it
• You want to collaborate on improving a copilot with a colleague
• You're an org Admin publishing a canonical copilot that should stand out as the go-to resource for your organization
• You're building a tool for a specific team and want them to have easy access

Roles

Only the copilot's owner can delete it. Ownership cannot be transferred.

How to share a copilot

1. Open your copilot's settings.
2. Go to the Access & sharing tab.
3. Select an access level — Selective, Community, Official, or Enterprise — to control who can discover and use your copilot.
   • Official is only available to organization Admins.
4. In the Sharing and roles section, add any specific users or teams: search by name, assign a role (Viewer or Admin), and click Save.
   • You can do this at any access level. For example, a Community copilot can still have specific individuals assigned as Admins to help manage it.
5. Click Save.

Adding a team automatically includes all current and future members of that team.

Removing access

Open the copilot's sharing settings, find the user or team, and remove them. They'll immediately lose access.

Use team sharing for large groups

If you're sharing with more than a handful of people, share with a team rather than adding individuals one by one. New team members will automatically get access.

What happens when you share

Your chat history stays yours. When you share a copilot with others, each user has their own separate chat history with that copilot. Nobody sees anyone else's chats.

Apps require individual authentication. If your copilot has connected apps (like Atlassian or Notion), each user authenticates with their own credentials. They can only access data they already have permission to view in those services.

Copilot memory is shared. If the copilot has Copilot Memory enabled, all users contribute to and benefit from the same memory bank. Learn about memory →
